Viewing an entry – and all functions of the action bar

Action Bar – Overview

The Action Bar is the vertical function bar displayed in the Collection Entry View. It is always visible as soon as you have opened an entry, regardless of which collection you are working in. Using the Action Bar, you can centrally manage all relevant functions related to the entry without having to leave the view.
Editing - Edit Mode

At the very top of the Action Bar is the function for editing the entry. By clicking here, you switch to edit mode, provided you have the necessary user rights. In edit mode, all editable fields and save options for the entry are available to you.

Viewing - Display Mode

By default, when you open an entry, the display mode is activated first. In this mode, you can view all contents and details of the entry but cannot make any changes. This allows you to get a comprehensive overview at any time without accidentally modifying any information.

Comments

Below the display mode is the comment function. Here you can enter comments on an entry or read comments from other users. It is possible to leave both general comments and targeted remarks on individual fields or contents of the entry. All comments are collected and displayed in this section for easy review.

Inspector

The inspector automatically checks which mandatory fields have already been filled in and shows you a percentage for the entry’s completeness. This allows you to keep an overview of which information is still missing in order to achieve a fully completed record.

Folder Preview

The folder preview displays all documents linked to the current entry, sorted by framework. For a product entry, for example, you will see the entire product file here. In other collections, such as Contacts or Legal Entities, you will find all documents related to a supplier or an organization.

Audit Trail

In the audit trail section, all changes and versions of an entry are documented without gaps. Every edit or correction is automatically saved, allowing you to track the history of each entry at any time.

Connections

This section shows you with which other entries the current entry is technically or logically connected. This overview is especially useful for advanced users who want to analyze complex data relationships.

Workflows

With the workflows function, you can pass an entry into a release process in order to have certain data officially reviewed and approved, for example. The processing status within the workflow is also always visible here.

 

General notes

Depending on the collection and your user rights, some functions of the Action Bar may be hidden or differ. The Action Bar ensures that you can work centrally and efficiently with your entries and makes navigating and managing your data significantly easier.
